Deleting Information from Your Database

Learn how to make products, services, coupons, and clients inactive instead of deleting them, and how to permanently delete an item if you need to, including removing it from every ticket first.

📝 Overview

Learn how to remove products, services, coupons, and clients from your database, and why marking them inactive is usually the better choice.

An item cannot be deleted while it exists on a ticket. Marking it inactive hides it from searches and prevents it from being added to new tickets, without removing anything from your database.

🚫 Before you delete anything: Deleting is permanent and cannot be undone. It also removes historical data, so deleted tickets disappear from your reports too. We strongly recommend marking items inactive instead.

📦 Product

Open the product from the Products list and check the This product is inactive and is no longer sold box in the General tab.

🧰 Services

Open the service from the Services list and check the This service is inactive and is no longer sold box in the General tab.

🎟️ Coupons

Open the coupon from the Coupons list and check the This coupon is inactive box.

🙋 Clients

Open the client's profile and check the This client is inactive box in the Contact Information tab.


🔓 Working with Inactive Clients

You can still create a ticket for an inactive client. On the Find Client screen, check the Include inactive clients box when adding a ticket.

Creating a ticket does not reactivate the client. To make them active again, open their profile and uncheck This client is inactive.


🔗 Why Deleting Can Affect Data You Want to Keep

Learn why deleting one item can remove more than you expect.

A product, service, or coupon can't be deleted on its own if it appears on a ticket — the entire ticket has to be deleted first. If that ticket also contains other items you did not intend to remove, their record is deleted too.

For example, if a ticket has two services on it and you only want to remove one, deleting that ticket removes both. There is no way to delete a single line item from a ticket without deleting the whole ticket.

This is also why deleted items disappear from your reports. Reporting relies on ticket history, so once a ticket is deleted, everything on it is gone from your reporting too.


⚠️ Permanently Deleting Items

Learn how to permanently delete an item if you are certain you want to.

🚫 This cannot be undone: To completely delete a product, service, coupon, or client, you must first delete every ticket in the database on which that item appears. Any other information on those tickets will be permanently removed as well.

  1. Navigate to the Clients screen by clicking the Clients button on the button bar, or by selecting Edit Clients from the Clients drop-down.

  2. Open the client's profile.

  3. Click the Purchase History button.

  4. The View Previous Purchases and Transactions window will open. Click into each of the eight tabs and highlight everything shown. Click the top item and drag to the bottom of the list, or click the top item, hold Shift, and click the bottom item.

  5. Click the Delete Ticket(s) button on the right and confirm.

  6. Once you have done this for all eight tabs, click OK in the bottom right, then Save in the client's profile.

  7. Highlight the client's name on the Clients screen and press the Delete key, or click Delete Client in the upper left, then confirm. The client and all associated tickets are now removed from the database.

  1. Navigate to Reports > More Reports > Products or Services > Tickets Containing a Specific Product or Service.

  2. Select the All Dates option and click OK.

  3. Enter the product or service ID you want to remove and click OK. This generates a list of every ticket the item appears on. The report opens in a separate window, so you can leave it open while working. You can also print it, export it to Excel, or save a copy using the File drop-down in the upper right.

  4. Navigate to the Tickets screen by clicking the Tickets button on the button bar, or by selecting Edit Tickets from the Tickets drop-down menu.

  5. Find each ticket from the report. You will likely need to select All in the Tickets To Show section and expand to All Dates using the Search By Date button. Delete each ticket by highlighting it and pressing Delete, or by clicking Delete Ticket in the upper left.

  6. Return to your Products or Services list and delete the item.

  1. Navigate to the Coupons screen by selecting Edit Coupons from the Messaging & Marketing (or E-mail & Marketing) drop-down menu.

  2. Double-click the coupon you want to remove.

  3. Click the View Usage History button to see every ticket the coupon appears on.

  4. Print this list, or save it by clicking Print > Save to File.

  5. Navigate to the Tickets screen by clicking the Tickets button on the button bar, or by selecting Edit Tickets from the Tickets drop-down menu.

  6. Find each ticket from the list. You will likely need to select All in the Tickets To Show section and expand to All Dates using the Search By Date button. Delete each ticket by highlighting it and pressing Delete, or by clicking Delete Ticket in the upper left.

  7. Return to your Coupons screen and delete the item.

Why can't I just delete a client or product directly?

An item cannot be deleted while it appears on a ticket. Every ticket containing that item has to be deleted first, which is why marking it inactive is usually the better option.

What's the difference between inactive and deleted?

Inactive hides the item from searches and stops it being added to new tickets, but keeps all of its history in your database. Deleted removes the item and its tickets permanently.

Will marking a client inactive affect my reports?

No. Inactive items keep their history, so past sales and appointments still appear in your reporting. Deleting an item removes its tickets, which does change your historical totals.

Can I undo a deletion?

No. Deleting causes irreversible data loss. If you may need the information later, mark the item inactive instead.

Can I reactivate something I marked inactive?

Yes. Open the item and uncheck the inactive box. For clients, that box is in the Contact Information tab of their profile.

If I delete one service from a ticket that has two, will the other service be affected?

Yes. There is no way to remove a single item from a ticket. Deleting requires deleting the entire ticket, which removes every item on it, including services, products, or coupons you did not intend to delete.


💡 Tips & Reminders

  • 🛑 Inactive is almost always the right choice. Deletion is permanent and changes your historical reporting.

  • 💾 Back up your database before deleting anything, so you have a recovery point if you change your mind.

  • 📄 When deleting a product or service, save or print the ticket report first. You will need it to work through the list.

  • 🔗 Check a ticket's full contents before deleting it. Removing one item means removing everything else on that ticket too.
