With Version 13 of the program, you can setup membership programs within the software. With these memberships, you can give your clients discounts on all products or services, provide a specified number of services to the client within the yearly or monthly billing cycle or provide an unlimited number of usages for a specific service.
Note that even though you can create multiple membership packages, a client can only be signed up for one membership at a time. Memberships can only be created if you are using CardConnect for your credit card processing.
Creating a Membership
Select the Clients drop down menu and select Manage Memberships.
Along the left side, select Add Membership.
Enter the ID, Name and Price for the membership.
Select the Billing Cycle and set how often the membership will bill.
If your membership provides a discount for all products or all services, set the percent discount for the Product Percentage or the Service Percentage.
If your membership includes services, check the box for This membership contains one or more services.
Press Add Service.
In the service lookup screen, double click on the service you wish to add to the membership.
Repeat steps 7 and 8 for all services to be included in the membership.
If multiple of the same service are to be included in the membership, adjust the Qty Prch for the specific service to the desired amount.
If a service is to have unlimited uses when a client purchase the membership, check the box in the unlimited column.
Press Save to finish creating your membership package.
Selling a Membership
From either the appointment book or the ticket screen, create a new ticket and select the client you want to sell the membership to.
Click on the Add Item to Ticket button or double click under the ID Column.
Select Memberships from the search options drop down list.
Double click on the membership you wish to sell to the client.
The Purchase Membership window should now appear.
Set the Start Date for the membership to begin.
Set the Bill Until value for the membership.
If the customer does not have a credit card already on file, select Add Card on File.
On the Credit Card Information window, enter the Credit Card Number, Expiration Date, Security Code, and Zip Code. Press Add Card once finished.
Back on the Purchase Membership window, make sure the credit card to be used for the membership is selected. Press Save to save the membership for the client.
You will then be brought back to the Ticket Information Screen. You can now close out the ticket for the client as you normally would by accepting payment for the ticket and closing the ticket. Once the ticket is closed, you will see the message below.
Redeeming Membership Services
Redeeming services that are included are within a membership is just like redeeming regular prepaid services.
Create a ticket for the client.
Click the Redeem Pre-paid Service button. The Select Pre-Paid Service to Redeem window will appear.
Highlight the service and click the Redeem Pre-Paid Service button.
Confirm the quantity to be redeemed. The item will be added to the ticket at $0 since the service has been paid for previously.
Click Schedule/Leave Open if they client is scheduling a future appointment or close the ticket as you normally would if the client is ready for checkout now.
If your membership had a product or service discount set on it, it will automatically be applied to all products or services when they are added to a ticket for the customer.
Managing a Client's Membership
At the top of the software, select Clients -> Edit Clients.
Double click on the client in question from your client list.
Select Membership.
In the Billing & Usage section, you can select the different tabs to view the Billing History, Future Payments, Service Usage, and Discounts Received.
To view or void a payment, select the Billing History tab, select the payment in question and select either View Payment or Void Payment.
To view future payments and process them, select the Future Payments tab. You can then select the payment you want to process and press Process Payment.
To view what services have been used with the membership, select the Service Usage tab. You can then select individual tickets and then either view or void the tickets.
To view what services a client has left within the payment cycle of the membership, select Available Services. You will then see the screen below.
If you wish to cancel the client's membership, select Cancel Membership button in the bottom left.
