The Mailing Report allows you to narrow the client list based on dozens of criteria to create mail merge lists, generate mailing labels, or just build a list of clients that match a certain set of criteria. This tool is especially useful if you need to reach out to clients who have not been in for a visit recently. Keep in mind that a client will only be included in the results if he or she meets EVERY parameter you select to include. So, the more options you check, the narrower your list will be.

  1. Click the Mailing button on the button bar or choose Marketing Clientele Report from the Messaging & Marketing (or E-mail & Marketing) drop-down menu.

  2. Select the clients to include by checking the appropriate box(es):

    • The client's first name includes the word or phrase: narrow results by a first name

    • The client's last name includes the word or phrase: narrow results by a last name

    • The client's city includes the word or phrase: narrow results based on city

    • The client's postal code is: narrow results by postal code

    • The client's class/category includes the word or phrase: narrow results based on a specific word or phrase from the client's profile

    • The last employee to service this client was: narrow results based on the last employee performing the service

    • The client's preferred employee is: narrow results based on a preferred employee

    • The client's gender is: narrow results based on gender

    • The client has had |___| visits: narrow results based on the number of visits your clients have had

    • The client has |___| loyalty points: narrow results based on the number of loyalty points clients have

    • The client has spent |___| since |date|: narrow results based on client spending

    • The client has referred another client and has not been credited: narrow results on client referrals that have not been given credit

  3. Alternatively, leave all the boxes blank to include all clients.

  4. Click Next.

  5. In the Select Clients to Include - Birthday section, optionally make the appropriate selections:

    1. Do not filter results based on birthday

    2. Filter results and search birthdays based on number of days or specific date range

      • If filtering based on number of days, enter the number of days ahead to search client birthday results.

      • If filtering based on specific date range, select appropriate date range(s) below.

  6. In the Select Clients to Include - First and Last Visit section, optionally make the appropriate selections:

    1. Do not filter results based on first and last visit

    2. Filter results and search first and last visit based on a: number of days or specific date range

      • If filtering based on number of days, select the appropriate options for number of days being searched below.

      • If filtering based on specific date range, select the appropriate options for date range being searched below.

  7. Click Next.

  8. In the Select Clients to Include - Purchase History section, optionally make the appropriate selections:

    1. Do not filter results based on purchase history

    2. Filter results and:

      • Do not consider purchase history date range

      • Search purchase history based on number of days, then select appropriate filter options below

      • Search purchase history based on specific date, then select appropriate filter options below

    3. Add Products, Services, or Packages purchased to include in search filtering.

  9. Click Next.

  10. As you feel appropriate, you may choose to check or uncheck the following boxes:

    • Only include clients that have a complete address entered

    • Only include clients that have an e-mail address entered (Check this if creating an e-mail blast!)

    • Only include clients who do not have an e-mail address entered

    • Exclude clients who do not have "Send marketing e-mails to this client" selected in their profile (Also recommended for e-mail blasts!)

    • Only include clients who are selected as the primary contact in their profile

    • Only include clients that have an SMS number entered

    • Exclude clients who have "Do not send postal mail" selected in their profile

    • Only include clients who are active (A client is only inactive if you have checked the "This client is inactive" checkbox in their profile.)

  11. Click Next to generate the client list based on all your parameter selection.

  12. The Result Options section allows you to print mailing labels, save the results to a file on your computer, or simply view the list.

  13. The Order Results By determines the list order for the selection chosen in the Result Options section.
